Job Description

The Program Manager Sample Management will be responsible for managing the Vertex Sampling and Hospital Pilot programs for the Pain Business Unit including the management of project plans, system/operational enhancements, process documentation, and analytical insights to advance the business strategy and customer experience.   This position reports to the Director of Sample Management & Operations within the North America Commercial Operations team.  This role will require strong collaboration across internal and external stakeholders including the business unit, compliance, supply chain, IT, and vendors to ensure alignment in prioritization, scope, and delivery. This role will require strong organizational skills and analytical thinking to support business process documentation, KPIs/reporting insights, and recommendations for informed business decisions.   This is a hands-on role and will require strong expertise in leading teams and managing complex programs across multiple stakeholders to achieve business results in a highly compliant, agile/product launch environment.   

Key responsibilities will include and are not limited to the following:

  • Lead weekly samples operational team meetings, including program enhancements, action plans, timelines, and perform meeting organization tasks including agendas and action items
  • Lead scoping, design, prioritization, and tracking of enhancements across internal and vendor systems and processes
  • Build and manage project plans and project task completion across a variety of stakeholders (internal and external)
  • Build and maintain a library of all process documentation including process flow diagrams, business rules, compliance documents, training and SOPs are in place across both Hospital Pilot and Sampling projects
  • Update Sr. leadership presentation materials for programs, including program reporting metrics, insights, and recommendations  
  • Build and maintain integrated reporting across projects for KPIs/SLAs, budgeting, and invoicing
  • Optimize and recommend sample program improvements, optimized vendor capabilities, and readiness to scale for new indications or therapeutic areas within Vertex

 

Required Skills:

  • High expertise in complex program management, preferably in the pharmaceutical industry, with the ability to develop project plans, coordinate tasks, manage issues, mitigate risks and deliver outcomes across multiple stakeholders (internal and external)
  • High expertise in development of process flow diagrams, project plans, scoping/business rules documentation, SOPs/Work Instructions & Field Training documentation
  • High expertise in creation and presentation of operational data and reporting including KPIs, dashboards, insights, and operational improvement recommendations to all levels in the organization
  • Ability to serve as a subject-matter expert for program business rules, operational processes, risk identification, and execution delivery status
  • Have a continuous improvement mindset, with experience in using operational data, issue/risk management, and end-user feedback to refine business processes and systems to improve efficiency and end-user satisfaction
  • Ability to lead service vendors to ensure contractual deliverables are met and establish ongoing program improvements and efficiencies to continually refine and improve the sample program effectiveness
  • Ability to lead and partner well with internal operational delivery stakeholders including IT, Data Management, Compliance, Legal, Transparency/Aggregate Spend, and Omnichannel Analytics to align and agree to deliverables, quality levels, and ongoing inquiry/operational support service levels
  • Excellent communication, presentation, and external stakeholder engagement abilities

 

Qualifications:

 

  • 5+ years of leadership experience in a Program Management role in a complex environment, preferably in pharmaceutical sales operations functions, with demonstrated experience in all phases of the project lifecycle:  planning, scoping, design, build, testing, deployment, and ongoing support
  • 7+ years of experience in technology, data integration, and test plans/UAT project management
  • Strong understanding of the life sciences industry
  • Proven leadership, team management skills and vendor management
  • Bachelor's degree, with advanced degree preferred

Pay Range

$75-$85/hr
