Job Description

The Senior Administrative Assistant plays an important role in ensuring the effective and efficient maintenance of departmental processes, procedures, and programs inclusive of calendar management, scheduling, department meetings, travel arrangements, and expenses. It is imperative this person can handle details of a confidential and critical nature. To be successful at this position it will be important to exercise independent judgment to optimize internal processes and procedures, as well as act as a team player. The ideal candidate will be flexible to taking on additional responsibilities as needed.

 

Key Responsibilities:

 

  • Provide logistical planning and administrative support for the designated leaders, including calendar management
  • Lead the planning, including agenda and logistics management (room, catering, A/V, Zoom), for department meetings and events such as Leadership Team Meetings, Town Halls, Staff Meetings, Team Offsites, etc.
  • Schedule and coordinate larger cross-functional meetings as requested by extended leadership team members, with direction from designated leader.
  • Work closely with other administrative associates supporting other leaders and departments, inclusive of scheduling and logistics for cross-functional meetings, incorporating relevant context such as time-sensitivity, importance, availability of other senior leaders, and work hours across a global organization
  • Submit T&E reports in Concur
  • Manage leadership team and staff meeting agendas through tools such as Microsoft Teams, Outlook, etc.
  • Capture and share key information, presentations, documents, and action items to the team through knowledge-sharing tools such as Confluence and Microsoft Teams.
  • Assist in onboarding new employees – adding to email distribution lists, adding to recurring team meetings, etc.
  • Identify and implement opportunities to improve department processes and procedures; additional ad hoc projects and responsibilities as requested by the designated leaders.
  • Coordinate interactions with external stakeholders – on-site visits, conference calls, offsite meetings, and book travel arrangements

Minimum Qualifications:

 

  • Bachelor’s Degree
  • Experience with Outlook Calendar Management and Concur Expense reporting systems
  • Demonstrates excellent communication, verbal and written, and interpersonal skills
  • Ability to work in a fast-paced environment and drive projects to completion in a timely manner
  • Ability to proactive problem-solve through situations and solve non-routine, complex issues
  • Ability to independently interpret policies, and possesses thorough understanding of departmental and company policies and procedures
  • Ability to work with employees at all levels in the organization and across all functions
  • Lead with a team-oriented mindset, and able to develop rapport and credibility with team members, colleagues, partners, and stakeholders
  • Ability to identify, communicate, and resolve conflicts in scheduling and/or priorities across many stakeholders in the organization
  • Displays sound ethics and a fit for Vertex’s core values
  • Ability to clearly present project status and outline processes in oral and written formats

Pay Range

$45-$50
